You’ve most likely learned to depend on Microsoft® Outlook to handle a tremendous load of e-mail, contacts, appointments and tasks, but odds are you are still using it in its default view.
With just a few simple modifications to how your information appears in Outlook, this valuable office tool can work even harder for you.
Take control
To present the details you need in the format that best suits your work style, start with the Customise Current View dialog box under View > Arrange By > Current View.
Here you can organise how your information is displayed. Fields allows you to select the categories of information you would like to see, change the order of current fields or design new fields.
Group By (in all areas except Contacts) lets you group items by certain criteria, such as flagged status or due date. With Sort you can change the order in which your information appears – by conversation, client, attachment or other categories depending on your personal priorities.
Filter allows you to keep some records from being displayed. For example, you could set some contacts as inactive and not display them. Alternatively, you can display items that include you and only one other specific contact.
Looks count
You can customise the look of your Outlook information to see information more quickly. Other Settings control the fonts and font size in your view, and even sets the default size of address cards.
Automatic Formatting controls the fonts used for automatic features. Here you can change how unread or overdue items are formatted to make them stand out more.
Modifying Format Columns lets you condense or expand your information – such as your phone list – on your screen.
Why reinvent the wheel?
Outlook includes a list of pre-formatted views under View > Arrange By > Current View where you may find just the view you prefer.
Or choose the view that is most similar to what you would like, then, modify it under View > Arrange By > Current View > Define Views. You can also alternate between views to give yourself a quick change of perspective. Creating your own views under View > Arrange By > Current View > Define Views and clicking on New lets you pinpoint your focus exactly.
The few minutes it takes to explore these and other Outlook customisation features will enable you to tick off items on that "to do" list even faster than before.
