Free up your mailbox space with Outlook Calendar
Did you know you could free up space in your mailbox by cleaning out your Outlook Calendar? Most of us delete files from the Inbox, Sent Items, and Deleted Items folders when we run out of space in Outlook - but more free space can be achieved by deleting items in different places.
Here are some handy tips to reduce the size of your mailbox:
To free up space in your Outlook Calendar:
- In your Outlook Calendar menu, click View and select Arrange By then select Current View then By Category.
- This list can be sorted by end date to delete the meetings which are in the past. Be careful not to delete recurring events, this may cause you to miss a meeting in the future.
- This list doesn’t sort by size by default, but you can add one by clicking on View and select Arrange By then select Current View and Customize Current view.
- Click on Fields and set the Select available fields option to All Mail fields. You can then add size as a column to the list of appointments and find out where all the space has gone. To revert back to the typical calendar view, select View and select Arrange By then select Current View and Day/Week/Month.
Another method for finding large items in the Calendar:
- In your Outlook Calendar menu, click on Tools, select Find, then Advanced Find.
- On the More Choices tab, at the bottom under Size, select the greater than option.
- Input the maximum amount you want to see, for example 100.
Anything that is deleted goes into the Deleted Items folder so the size of your mailbox will not reduce until the deleted items folder is emptied.
